The rules of using Steward.

Acceptance

These terms apply between Steward (a New Zealand product) and the organisation using the service. By creating an account or using the product on behalf of a board, you confirm you're authorised to accept these terms for that organisation.

The service

Steward helps boards prepare for meetings by reading the documents the board governs by and writing meeting briefs, questions, context, and a tentative view, for trustees to bring into the room.

Early access

Steward is in early access. We're shipping it to a first cohort of boards while the product keeps evolving. Features may be added, refined, or stepped back. Specific surfaces may look or behave differently month-to-month as we learn what works in real meetings. Pricing may shift as we settle on the right shape. Notice arrangements for pricing changes are covered under Subscription and billing below.

Your account

Sign-in uses magic links rather than passwords. Admins are responsible for managing membership inside their own organisation: inviting new trustees, removing people who have left the board, and keeping admin access scoped appropriately.

Acceptable use

Don't upload content you don't have rights to share with the service, don't attempt to reverse-engineer or interfere with the product, and don't share sign-in links outside the people they were issued to.

Your content

You own the documents your organisation uploads. You grant Steward a limited license to process those documents to provide the service, including sending content to an external AI service to generate the meeting brief. See the privacy policy for the data-handling detail.

AI outputs

The questions and other AI-generated content Steward produces are decision-support material. They're not a substitute for the board's own judgement, boards remain responsible for the decisions they make, including which questions to ask and which to set aside.

Subscription and billing

Steward is provided on a subscription basis. The specific plan, pricing, and billing cadence applicable to your organisation are shown in your billing settings. Cancellations take effect at the end of the current period; we don't pro-rate refunds for partial periods.

If the recurring rate that applies to your organisation changes, we'll give at least 60 days' notice by email to the org admin before the new rate takes effect. The current rate stays in effect until the notice window closes, and you can cancel without penalty during that window.

Suspension and termination

We can suspend or terminate access for breach of these terms or for non-payment. You can end your subscription at any time from the billing settings. Past briefs, dispositions, and the audit trail stay accessible while a subscription is active.

Disclaimers and liability

Steward is provided as-is. We don't warrant that the service will be uninterrupted or error-free, and to the maximum extent permitted by New Zealand law, our liability for any claim arising out of the use of the service is limited to the fees paid by your organisation in the twelve months before the claim.

Governing law

These terms are governed by New Zealand law. Any dispute will be resolved in the New Zealand courts.

Changes to these terms

We may update these terms, we'll post the new version here and update the “last updated” date. Material changes will be flagged to admins by email before they take effect.
